Queen Charlotte Yacht Club

An introduction to our facilities

Location:

The Queen Charlotte Yacht Club is located at the northern end of Shelley Beach on the Eastern side of Picton Harbour. Access is via the Picton Marina and Shelley Beach.

Description:

Our new club was designed by Wal Edwards Architecture and built in 2020 by Tory Channel Contracting Ltd. The waterfront location affords a majestic view of the harbour and surrounding hills. The facility was designed to accommodate the dinghy sailing needs of the local sailors and various sporting and community codes so that Local, Regional and National events can be hosted in Picton.

Availability for Hire:

The QCYC sailing season generally runs from September to April, the facilities are available to hire by request around sailing activities. The club is utilised most Saturdays during this period. Our Sailing and Venue calendar can be viewed on our website, these dates are subject to change. The sailing calendar is set at the beginning of each season so there may not be information for dates more than 6months ahead.

Our club is run by volunteers, we will endeavour to reply to your enquiries in a timely manner but are often not available during work hours, we will follow up in due course.

The facilities will not be available for 18th and 21st Birthdays.

OUR FACILITIES

King Salmon Ward Room:

This is the main club house downstairs overlooking the harbour with access to the large deck and wharf. The room accommodates up to 150 guests, 100 comfortably seated at tables. Toilets, tea and coffee facilities, AV smart screens, a microphone and a sound system and are available for your use. The adjacent bar and kitchen can be included with the hire of this room by request.

(10 round tables 1800mm diameter, 1 tressle table (1780 x 760mm) and 180 chairs)

 

Upstairs are two smaller adjoining rooms. Toilet facilities are downstairs. A kettle and cups are provided for your use on the upstairs landing.

First National Quarter Deck:

A boardroom (6x9m) furnished to accommodate 20 guests with AV smart screens.

Training Room:

A classroom (6x9m) furnished to accommodate 20 guests with AV smart screens and a fixed whiteboard.

A mobile whiteboard can be used in any room within the facility.

 

Kim Crawford Bar:

The bar is stocked with local wine and beer from our sponsors Kim Crawford Wines and Moa Brewery.

If alcohol is available for sale at an event a special licence may be required. Our bar manager will discuss this with you and apply for this on your behalf. A minimum of one month’s notice is required and a fee of $100 will apply.

Please note: Our licence extends until 11pm, alcohol can only be consumed within the King Salmon Ward Room and on the deck, not on the beach or in the car park.

Kitchen:

The club kitchen has the following facilities: 2 ovens, a grill, a microwave, a pie warmer, double chiller & display chiller, speed washer and domestic dishwasher. (No freezer) The fat fryer is not usually available. Cutlery and plates for 80 (no bowls), cups for about 50, wine and beer glasses for 100, miscellaneous water glasses for up to 50. QCYC House committee members are able to cater for a limited number of events at the club by arrangement. This is an opportunity for club members to donate their time to fundraise for the club.

LOGISTICS

Cleaning:

The club facilities are provided in a clean and tidy state for your enjoyment. They must be returned in the same manner, cleaning equipment and products are located in the cleaning cupboard in the laundry, vacuum cleaners are under the stairs. Furniture must be returned to the normal position (arm chairs stacked, smaller chairs upside down on the round tables), no pictures/fittings are to be moved. The kitchen is to be left clean and tidy, all dishes are to be washed, dried and put away, benches wiped and appliances clean.

QCYC reserve the right to charge a cleaning fee if the facilities are not left to our satisfaction.

We can arrange a cleaner for $150 (up to 100 guests) $200 (over $100 guests) This will include mopping of floors (including kitchen), vacuuming carpets and cleaning of toilets and handbasins. These tasks need to be completed by the hirer if a cleaner is not requested/available.

Rubbish:

You are expected to remove all rubbish at the end of your hire, a fee will be charged if this is not satisfactory.

Payment:

A 50% hire deposit is required to confirm your booking once a request has been accepted, a receipt will be issued. The balance of the hire cost and the bond is due no later than 20th month prior to the hire.

Hire Agreement:

The hirer will be required to sign a hire agreement when the booking is confirmed and the deposit paid.

Bond:

A bond of $500 - $1000 (dependent of circumstances) for the KS Ward room or $200 for the upstairs rooms will be payable with the balance of the hire payment. This will be refunded within approx 2 weeks assuming there is no damage/breakages/missing items or unresolved cleaning etc.

 

Please use the online expression of interest form to enquire and we will contact you with more details, availability and the cost of the hire. (Community, sport and non profit discounts may apply.) Please ensure you tell us about your organisation if you think it is relevant.

Our house committee meet each month, they will consider all hire requests and contact you in due course.

Sarah can confirm what equipment/chiller space is available and questions relating to the operation of kitchen appliances.
